Event AI Privacy Notice

Use of the Grip AI Assistant

At this event, you may choose to interact with the Grip Assistant, an AI-powered chatbot provided by our technology partner Grip (Intros.at Ltd). The Assistant allows you to ask questions, receive navigation support, or arrange meetings with other attendees.

What information is processed

When you use the Grip Assistant, the following data may be processed:

  • the content of your questions or messages;
  • technical information such as session identifiers and timestamps;
  • derived information such as suggested matches or recommended sessions.

Who is responsible for this processing

  • We, the Event Organiser, are the controller for your personal data when it is processed through the Grip platform, including the Grip Assistant, for the purposes of delivering the event.
  • Grip acts as our processor when operating the Assistant on our behalf. Grip may also act as an independent controller where it uses aggregated, non-identifiable usage data to monitor and improve its services. Grip does not use event attendee
    interactions to train or fine-tune AI models. Please see Grip’s Privacy Policy for further details.

Legal basis

We process data collected through the Grip Assistant on the basis of our legitimate interests in facilitating your event participation and networking. If you provide sensitive information (such as health or accessibility needs), we will only process this with your explicit consent.

Retention

Chat transcripts and metadata are retained only for the duration of the event plus a short period (up to 30 days) for troubleshooting. After that, the data is deleted or anonymised.

Your choices

Use of the Grip Assistant is optional. You may decline to use it and rely instead on FAQs, maps, or direct contact with event staff. You may also object to the processing of your chat data or request deletion at any time
